Human Resources develops and implements our team members, candidates, and operational strategies to support Wells Fargos business objectives. This group manages compensation and benefits, human resource service centers, systems and payroll, team member relations and assistance, talent management, learning and development, and recruiting. This Executive Assistant will provide a high level of professional support, which includes a balance of senior executive level administrative work, as well as ongoing ad hoc and project/business initiatives support such as planning meetings, tracking deliverables and pulling routine reports. This Executive Assistant will support and interact on a daily basis with multiple Executive and Senior level Wells Fargo leaders.

Key responsibilities include:

• Providing administrative support to the HR Control Executive.

• Responsibilities can include:

o Managing a complex calendar

o Preparations for meetings including room coordination and technology (Zoom, telepresence, video conference)

o Managing all aspects of travel arrangements such as booking, preparing travel itineraries, making changes as needed and preparing expense report submissions

o Review of Control Executive directs expense reports for accuracy and compliance

• Drafting complex and/or confidential correspondence

• Navigate various internal systems to include serving as proxy for the following systems: Staff Management, Time Tracker, EPAR, MRS, WFA, ICCARD, T.O.P.$

• Communicating with internal and external stakeholders on behalf of Control Executive

• Coordinating with internal and external organizations on behalf of executive.

• Directing phone inquiries from internal and external stakeholders to appropriate internal person

• Assisting with balancing general ledger lines and/or expense accounts; researching general ledger issues

• Editing documents and presentations as needed

• Handling all personnel and confidential company materials with sensitivity and discretion

• Answer inquiries on own initiative, follow up with other departments to ensure that requests are carried out and perform other routine duties as neededRequired Qualifications

  • 5+ years of administrative support experience

    Desired Qualifications

    • Experience supporting senior level leaders/executives
    • Ability to execute in a fast paced, high demand, environment while balancing multiple priorities
    • Strong time management skills and ability to meet deadlines
    • Strong analytical skills with high attention to detail and accuracy
    • Highly refined and professional verbal and written communications
    • Ability to be flexible and adjust plans quickly to meet changing business needs
    • Experience supporting multiple managers with calendar management, travel arrangements, scheduling of meetings and events
    • Experience writing and editing internal communications, including corporate and executive level communications
    • Advanced Microsoft Office (Outlook, Excel, Word, PowerPoint, LiveMeeting and SharePoint) skills
    • Knowledge and understanding of conferencing technologies
    • A BS/BA degree or higher

      Other Desired Qualifications• Experience with synthesizing data from multiple sources and presenting it in appropriate formats

      • Experience reviewing and preparation of expense reports for leaders

      • Ability to deal with conflict and independently resolve in a professional manner

      • Knowledge, background and demonstrated use of Wells Fargo systems (PeopleSoft, Staff Management, Talent Management, HRG, My Concur, GL 31, etc.)Salary InformationThe salary range displayed below is based on a Full-time 40 hour a week schedule.
