How you'll make a difference?

The Order Fulfillment Specialist will provide logistical support to all sales representatives for inventory requests. Focus will be on complete inventory management based on providing the instrumentation and implants needed to support surgeries. Duties will include order fulfillment through the related administrative duties to enter, ship, track, and expedite orders with an investigation into any delivery delays. The Order Fulfillment Specialist will also track inventory returned to fully reconcile sets after usage and manage any discrepancies. Routine review of transactional details will be required to maintain accuracy, service, and quality standards and to meet service level agreement targets.

What will be your Duties and Responsibilities?

  • Evaluates all loaner and consignment inventory requests - proactively communicating and confirming all tray configuration set/part needs for the Sales Rep.
  • Manages regional inventory levels with a limited volume of assigned account portfolios.
  • Coordinates and processes implant and instrument set requests for scheduled surgeries, prioritizing available inventory based on delivery requirements.
  • Regularly updates distributors and sales representatives on the status of inventory orders.
  • Understands and proactively educates distributors on par levels for inventory, adjusting inventory requests accordingly and in partnership with the Sales Rep's needs.
  • Provides courier coordination for priority loaner inventory requests with consideration to travel time and sterilization window requirements.
  • Optimizes circulation of loaner pool inventory to meet surgery needs with ongoing communication and expected return dates.
  • Maintains reconciliation of loaner inventory kits upon field transfer or return to the warehouse.
  • Restocks loaner field inventory only as necessary for additionally booked surgeries.
  • Processes additional transactions and return authorization requests as needed.
  • Manages late loaner list as defined by departmental turn-around times.
  • Manages "clean" RSM and MedEd inventory by maintaining little to no inventory in locators past the specified surgery case dates.
  • Cancels all order lines for products not shipped when surgery has already taken place, or when inventory will no longer be needed.
  • Manages Limited Market Release product lines.
  • Logs field complaints in a timely manner as per regulatory requirements.
  • Establishes and maintains an outstanding relationship with distributors and regional sales managers.
  • Resolves routine escalations courteously and effectively.
  • Provides service to customers after normal office hours (within a rotation schedule) via cell phone and laptop.
  • Analyzes orders for accuracy, investigate questionable data, and takes corrective action when required.
  • Performs a variety of complex duties requiring initiative and a significant amount of judgment via problem-solving and decision-making, affecting revenue and customer loyalty.
  • Consistently meets departmental Key Performance Indicators and Quality standards.
  • Develops and maintains a working knowledge of all product lines.
  • Interfaces effectively and professionally with both internal partner and external partners, building stable working relationships.
  • Performs additional tasks as assigned by the supervisor.
  • Learns and applies company policy and procedures to resolve routine issues.
  • Completes all compliance and department-related OrthoLearn courses on time.
  • Attends all departmental and company-wide meetings.
  • Regular attendance is required with adherence to scheduled shift.

      Nonessential Skills, Experience, and Qualifications:
      • 2+ years of experience in field inventory support and customer service preferred.
      • Knowledge of ERP (Oracle) and Surgical Scheduling/Field Inventory Management applications.
      • Knowledge of anatomy and medical terminology.
