SUMMARYThe TPA Administrative Assistant will be responsible for various in-office administrative and accounting-related duties as outlined below. DUTIES & RESPONSIBILITIESResponsible for daily pick up and delivery of mail to the local post office via personal vehicle.Handling various administrative functions such as mail sorting and ordering office supplies, reporting office maintenance needs, overseeing contractor maintenance appointments, and communicating with the office property managers on maintenancePrint and mail claims checks and correspondence to medical providers and insureds for policyholder accounts for Texas non-subscriber and national workers' compensation programs on a daily basisVerify and record IRS form W-9 information for all medical providers and other vendors via phone and assist with submitting IRS form 1099 data annuallyMonitor 50+ customer checking accounts and request weekly escrow funding approvals Monthly bank reconciliations for customer checking accountsUpload Positive Pay files to the bankRun daily claims payment reports and import them to accounting software dailyGenerate various financial reports for month-end closeAccounts payable responsibilities include receiving and coding bills in accounting software for review and approval by a supervisorInitiate payments via online bill pay or EFT through an online banking platformAssist with interim and annual financial audits performed by external auditorsScan/file accounting documents to provide support for transactionsAssist other team members with support and coverage during time offCross-train on various other accounting/finance duties and responsibilities outside of this job descriptionVarious ad hoc projects, research, and reports as needed by other team members and managementPerform other duties as requested and assignedCOMPETENCIESMust be reliable and extremely trustworthyExcellent organizational skills and attention to detailProblem solver mentalityAbility to maintain confidential and meticulous recordsSUPERVISORY RESPONSIBILITYThis position has no supervisory responsibilities.

Requirements:
TECHNICAL SKILLS REQUIREDQuickBooks experience or other accounting software - preferredProficient in Microsoft Office Suite, G Suite, Adobe Acrobat, or similar softwareStrong Excel skills are highly recommendedExperience with online banking platforms - preferredWORK ENVIRONMENT & PHYSICAL DEMANDSThis position operates in a professional office setting and routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines. This is largely a sedentary role with prolonged periods of sitting at a desk and working on a computer. However, some filing is necessary and may require the ability to lift files, open filing cabinets and bend or stand on a stool as necessary.POSITION & EXPECTED HOURSThis is an in-office, full-time, hourly, non-exempt position. Typical work hours and days are Monday through Friday, from 8:00 am to 5:00 pm. Some flexibility in hours is allowed, however, the employee must be available during the "core" work hours of 9:00 am to 4:00 pm.
